Challenge

As a national behavioral health leader, Rula was experiencing friction in its intake process caused by manual network status checks and insurance verification workflows. These processes not only delayed scheduling but also required high operational effort, which were pulling resources away from higher-value tasks and delaying patients from receiving timely care.

Solution

In partnership with Sohar, Rula embedded two powerful products—Verification and Network Status—directly into its patient intake systems. The goal was clear: accelerate access to mental health care by automating the most error-prone and time-consuming parts of the process, particularly around Medicare and Medicaid payers.

Working with Sohar on Network Status has helped us significantly improve the percentage of patients we can automatically and accurately determine are in-network. What used to take hours—often requiring calls or portal logins—now happens in seconds. The automation has made our patient intake workflows more efficient, and the speed and consistency of the results give our team greater confidence. Being able to modify the automations without involving our engineering team allows us to scale more efficiently. Sohar's team has been thoughtful and responsive throughout the process.

Objectives

  • Rula’s implementation was centered around four core automation workflows:
    • Real-Time Eligibility: Instantly surface insurance details during the registration form experience, guiding patients based on real-time coverage checks.
    • Portal-Based VoB: Trigger benefits checks from the patient portal once insurance details are submitted, ensuring consistency and up-to-date data across entry points.
    • Monthly Insurance Change Detection: Automatically re-check insurance data monthly, within 72 hours of an upcoming appointment, to flag changes and prevent billing issues.
    Together, these use cases enabled Rula to improve accuracy, eliminate manual processes, and minimize delays—all while offering a better patient experience.

Pain Points

Manual network status checks required logins to insurance portals or lengthy phone calls.
Inconsistent coverage data led to intake errors and bottlenecks.
Reliance on engineering teams for adjustments limited scalability.

Implications

Rula was only able to provide real-time benefits to a subset of new patients in the patient intake process.
Rula had to rely on costly manual processes to verify patient insurance information, which resulted in delays to patients receiving cost share information.

To meet Rula's brief, we suggested two products from our Eligibility Automation suite, Verification and Network Status. These products work together to automate real-time eligibility and create operational efficiency.

Verification

Reveals whether a patient is eligible for services and verifies the nature of their benefits.

Network Status

Determines instantly whether a provider is in-network for a given patient, increasing accuracy and ensuring optimal care navigation.

Implementation

Working closely with Sohar’s team, Rula integrated these tools into its existing systems with minimal engineering overhead. Unlike traditional vendor implementations, Sohar enabled configurable automation logic that could be updated by operational teams—eliminating the need for constant engineering support and allowing rapid iterations as Rula scaled its workflows.
